Retreat Event Information and Health Policy

 

Event Date: Oct 3-12 2025

Location: Vernon/Coldstream, BC, Canada (tourist destination, 10-15 minute drive from VRBO, Airbnb, or hotels)

 

Purpose

This document outlines the retreat’s logistics, accommodations, meals, costs, and health policy to ensure a safe and enjoyable experience.

 

Event Details

Arrival: Fly into Kelowna International Airport (YLW). A greeter will meet you.

Activities:

- Kirtan partying with ample Prasadam

- Outreach event.

- Hiking and trails accessible from the venue

 

Health Policy Overview: (Details below)

- Do not attend if you have symptoms of illness (e.g., sneezing, sniffling, sore throat).

- Monitor health before and during the retreat. Wear a mask in shared spaces if feeling early signs of illness.

- Bring and wear masks during flights to and from the retreat.

- Boost immune system before arrival (e.g., nutrition, sleep). Bring vitamins/supplements for immune support.

- Non-compliance may result in removal to ensure participant safety.

 

Accommodations

Bring Your Own Bedding: Required unless renting a bedding package ($10/day).

Options (all include mattresses unless noted):

- Indoor:

  - 6 family-sized tents (2-3 people, with 3 single mattresses or 1 queen + 1 single).

  - 4 single/double tents with mattresses.

  - Men’s wing: 4 single mattresses.

- Outdoor/Indoor:

  - 3 family-sized tents.

- Outdoor:

  - 6 single tents with mattresses.

  - 1 extra-large tent (up to 6 single mattresses).

- Bedrooms: 5 rooms reserved for organizers, facilitators, musicians, special guests (no vacancy).

Bathrooms: 8 shared full bathrooms.

 

Meals

Schedule:

- Brunch: 10:00 a.m.

- Dinner: 5:00 p.m.

Storage:

- Coolers with ice packs and communal fridges available (label food clearly).

- Plates and cutlery provided; bring your own water bottle.

 

Parking and Camping

RV Parking: 4 spots.

Additional Camping: 10 spots for personal tents.

 

Attendance Cost

Standard Fee: $40 CAD per person.

Discounted Fee: $30 CAD for campers using own gear or offsite guests (e.g., hotels, VRBO, Airbnb).

Children: Half price for kids up to age 14.

 

What to Bring

- Bedding (if not renting).

- Reusable water bottle.

- Clothing layers for variable weather.

- Do not bring: Plates or cutlery (not needed).

 

Additional Notes

Vernon/Coldstream offers nearby lodging (VRBO, Airbnb, hotels) within a 10-15 minute drive.

Retreat Health Policy  

Purpose  

This policy is designed to protect the health and safety of all participants attending the retreat by minimizing the risk of illness transmission and promoting proactive health measures.

 

1. Attendance Restrictions  

1.1 Prohibited Attendance  

- Do not attend the retreat if you are experiencing any signs of illness, including but not limited to:  

  - Sneezing  

  - Sniffling  

  - Sore or "weird" throat  

  - Any other symptoms associated with sickness.  

 

1.2 Health Monitoring  

- Participants must monitor their health prior to and during the retreat.  

- If you experience early signs of illness during the retreat, you must immediately adopt preventive measures as outlined below.

 

2. Mask Requirements  

2.1 Travel  

- All participants must bring face masks and wear them during flights to and from the retreat.  

 

2.2 During the Retreat  

- Wear a mask immediately if you feel you may be getting sick, even if symptoms are mild or in early stages.  

- Masks should be worn in all shared spaces to prevent potential transmission.

 

3. Immune System Precautions  

3.1 Pre-Retreat Preparation  

- Participants are strongly encouraged to boost their immune systems prior to the retreat through healthy practices (e.g., proper nutrition, sleep, and hydration).  

- Bring an adequate supply of vitamins or supplements to support immune health during the retreat.

 

4. Compliance  

- All participants are expected to adhere to this policy to ensure a safe and healthy environment.  

- Failure to comply may result in being asked to leave the retreat to protect the well-being of others.
